One of 40 organizations recently recognized for its contributions to the history, culture, vibrancy, and identity of communities of color in greater Chicago (see Chicago Cultural Treasures), Segundo Ruiz Belvis Cultural Center (SRBCC) is the longest-standing Latino cultural center in Chicago. Established in 1971, it was named in honor of Segundo Ruiz Belvis, a Puerto Rican patriot and member of a secret abolitionist society that freed slave children under Spanish rule. In that spirit, SRBCC realizes its mission to preserve and promote appreciation of the culture and arts of Puerto Rico and Latin America, with a focus on its African heritage.
Position Overview
The Administrative Manager plays a vital role in ensuring the smooth and efficient operation of the SRBCC. Reporting to the Executive Director, this position involves overseeing administrative functions, managing office operations, supporting event coordination, and assisting the Executive Director in moving forward the organization’s mission and goals.
Responsibilities
- Office Management:
- Maintain an organized and efficient office environment.
- Supervise administrative staff and ensure their tasks are performed accurately and timely.
- Manage office supplies, equipment, vendor relationships, and rentals.
- Event Coordination Support:
- Support the Executive Director and Programs Manager in planning, coordinating, and managing SRBCC’s public programs and community engagement activities.
- Collaborate with different teams to ensure events run smoothly and meet objectives.
- Support event logistics, including venue arrangements, participant registrations, catering, technical support, and managing visiting or resident artists.
- Financial Administration:
- Assist with budget development and monitor financial transactions.
- Process invoices, payments, expenses, and financial reports in collaboration with the Executive Director.
- Maintain accurate records of financial transactions and donations.
- Grant and Proposal Support:
- Assist in researching and identifying potential grants, funding opportunities, and partnerships.
- Collaborate with the Executive Director to prepare grant applications and proposals.
- Maintain a calendar of application deadlines and reporting requirements.
- Communication and Outreach:
- Manage communication channels, including emails, newsletters, and social media platforms.
- Coordinate marketing and promotional efforts to enhance the organization’s visibility.
- Respond to inquiries from the public, partners, and stakeholders.
- Database Management:
- Maintain an organized and up-to-date database and files of operations, members, donors, volunteers, and stakeholders.
- Ensure data integrity and privacy in compliance with relevant regulations.
- Board and Committee Support:
- Assist with scheduling board meetings, preparing meeting agendas, and documenting minutes.
- Coordinate communication between board members, committees, and the executive team.
- Human Resources Support:
- Assist with recruitment, onboarding, and orientation of new staff and volunteers.
- Maintain personnel records and assist with HR-related tasks as needed.
- General Administrative Tasks:
- Manage day-to-day office and program’s calendars.
- Handle incoming calls, emails, and inquiries professionally and promptly.
- Prepare and distribute correspondence, memos, and reports.
- Ensure compliance with relevant laws, regulations, and policies.
- Other duties as assigned by the Executive Director.
Qualifications
- Bachelor’s degree in Arts Administration, Business Management, or a related field (or equivalent experience).
- Experience working in a non-profit organization, preferably in the arts sector.
- Strong organizational, hospitality and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in office software and technology tools, including Excel, Microsoft Word, Quick Books, and Google Suite.
- Ability to work collaboratively with diverse teams and stakeholders.
- Attention to detail and a proactive approach to problem-solving.
Working Conditions
The role involves working in an office setting, with occasional evenings and weekends required during special events. The Administrative Manager may need to manage multiple tasks simultaneously, adapt to changing priorities, and work in a fast-paced environment. Competitive salary commensurate with experience. Reporting to the Executive Director, this position involves creative program planning, coordination, and collaboration with artists, educators, and community partners.
Responsibilities:
- Program Development
- Design and conceptualize innovative artistic and educational programs that align with the organization’s mission and strategic vision.
- Research current trends, best practices, and community needs to inform program development.
- Collaborate with the Executive Director to curate a diverse range of artistic experiences.
- Program Implementation:
- Coordinate the execution of programs, including scheduling, logistics, and resource allocation.
- Manage program budgets and ensure responsible financial stewardship.
- Collaborate with artists, instructors, and facilitators to ensure high-quality program delivery.
- Community Engagement:
- Cultivate and maintain relationships with community partners, schools, and local organizations to enhance program reach and impact.
- Collaborate with outreach teams to promote programs and engage a diverse audience.
- Artist and Instructor Management:
- Recruit, onboard, and manage a roster of artists, instructors, and guest speakers.
- Facilitate communication between artists and program participants.
- Provide support and resources to artists and instructors to ensure successful program delivery.
- Evaluation and Reporting:
- Develop and implement assessment tools to measure program effectiveness and impact.
- Collect and analyze data to track program outcomes and identify areas for improvement.
- Prepare regular reports for internal and external stakeholders.
- Collaboration and Partnerships:
- Collaborate with other departments to integrate programs with exhibitions, performances, and other organizational initiatives.
- Establish and nurture partnerships with other cultural institutions, schools, and community organizations.
- Marketing and Promotion:
- Contribute to the marketing and promotional strategies for programs to maximize participation and visibility.
- Create compelling program descriptions, press releases, and promotional materials.
- Budget and Grants Management:
- Assist in budget planning and grant applications related to program initiatives.
- Ensure compliance with grant requirements and reporting.
- Professional Development:
- Stay informed about industry trends and developments in arts education and programming.
- Attend relevant conferences, workshops, and networking events.
- Other duties as assigned by the Executive Director.
Qualifications:
- Bachelor’s degree in Arts, Arts Administration, Education, or a related field (or equivalent experience); Master’s degree preferred.
- Experience in program management within a non-profit arts organization or educational institution.
- Strong understanding of arts education, curriculum development, and program evaluation.
- Excellent organizational, project management, and multitasking skills.
- Creative thinking and problem-solving abilities.
- Effective communication and interpersonal skills.
- Proficiency in software and tools relevant to program management and reporting.
Working Conditions:
The Community Engagement and Programs Manager may work in an office setting as well as off-site at program locations. Some evening and weekend work may be required during program events.
